Manage customers and mandates in SEPA Generator Pro

Last updated: 25 October 2026

The Customers & Mandates tab of the Pro Collections workspace is a local register of the people and businesses you collect from by SEPA Direct Debit, together with the mandate details each collection must carry. This guide shows how to add, import, correct and retire those records.

Records, not authorisation

A mandate is the signed authorisation your customer gives you, and its rules come from the SEPA Direct Debit schemes, not from any software. You obtain and keep the signed mandate yourself, on paper or through an e-mandate service. SEPA Direct Debit mandates explained covers what a valid mandate must contain.

SEPA Generator Pro records the mandate data so that each collection file contains the correct reference, signature date and scheme. It does not collect signatures, does not sign mandates electronically, and does not register mandates with your bank or your customer’s bank. For B2B mandates, your customer must still confirm the mandate with their own bank.

Before you start

  • A creditor profile with your creditor identifier (Settings → Company profiles… → Creditor profiles, or Manage creditors… in Collections). See Getting started with Pro.
  • The signed mandates, or a spreadsheet listing their details.

Open Collections, choose the creditor in the selector at the top, then open the Customers & Mandates tab. Customers and mandates belong to the selected creditor.

Add one customer and mandate

Click Add customer…. The Add customer and mandate dialog reminds you that the mandate must already be signed by the customer. Fill in:

FieldWhat to enter
Customer nameThe debtor’s name as it appears on the account.
Customer referenceOptional: your own customer or member number.
Mandate reference (RUM)The unique mandate reference printed on the signed mandate.
Debtor IBANThe account to be debited.
Debtor BICOptional; only if your bank requires it.
Mandate signature dateThe date on the signed mandate.
SchemeCORE (consumers and businesses) or B2B (business customers only).
Default amount (EUR)Optional: prefills the amount in new collections, e.g. 45.00 for a monthly fee.
Default remittanceOptional: prefills the text your customer sees on their statement.

Click Add customer. Invalid values, such as an IBAN with a wrong check digit, are highlighted in the dialog so you can correct them without losing what you typed.

Import existing mandates from CSV or Excel

If your mandates are already listed in a spreadsheet or exported from another system:

  1. Click Get input template… to save an empty CSV with the recognised columns, or use your own CSV, XLS or XLSX file.
  2. Add one row per signed mandate. Customer name, Mandate reference, Debtor IBAN and Signature date are required; Customer reference, Debtor BIC, Scheme (CORE or B2B), Mandate status, Default amount and Default remittance are optional. Dates can be written as YYYY-MM-DD or DD/MM/YYYY. Rows that share a customer reference belong to the same customer.
  3. Click Import customers…, choose the file and match its columns.
  4. Click Preview…. Nothing is saved before you review the preview. Existing mandates change only for the updates you tick.
  5. Click Import. Pro reports how many customers and mandates were added or updated.

Correct or retire a mandate

Select a customer and click Edit… to correct details such as the IBAN after your customer gives you new bank details. The dialog also shows the Mandate status:

  • Active — the mandate can be collected.
  • Paused or Inactive — a collection that still contains this mandate must be corrected before it can be exported.

Corrections apply to future reviews and exports. Export history keeps the details that were actually sent.

Once a mandate has been used in an exported collection, its mandate reference and scheme can no longer be changed, because the banks identify the mandate by them. To change either, add a new mandate and set the old one to Inactive. Check with your bank how a change of mandate details must be signalled in your next collection.

Remove… deletes a customer and its mandate from the workspace. Export history keeps the details of files already generated.

Reuse mandates in collections

When you create a collection, you choose from the customers and mandates saved for the selected creditor. You tick the customers to collect, and each line takes the mandate reference, signature date, IBAN and default amount from the record. At review, Pro compares each line with earlier exports and warns you about likely sequence mistakes, such as a further FRST after an earlier export, or a collection on a mandate last collected as FNAL or OOFF.

Continue with Create your first Direct Debit collection.

Keep the mandate itself safe

Pro’s records are not a substitute for the signed mandate. Keep the original (paper or electronic) for as long as your scheme rules and local law require, because your bank can ask for it if a customer disputes a collection. The records in Pro are saved locally on your computer and can be included in optional encrypted backups.
